Welcome to FlexiWork Workspace & Coworking.
These Terms & Conditions outline the rules, rights, and responsibilities governing your use of our coworking memberships, private spaces, event venues, and related services. Please review carefully before booking or using any FlexiWork facilities.Last updated: May 12, 2025
1. Definitions & Scope
1.1 Agreement
This Agreement governs all services offered by FlexiWork Workspace & Coworking ("FlexiWork"): coworking memberships, private-space bookings, event venues, add-ons, and administrative services.Licence, Not Lease:
This Agreement constitutes a licence of services and does not constitute a lease, tenancy, sublease, or landlord–tenant arrangement.
1.2 Client
The individual or organization entering into this Agreement.
1.3 Facilities & Services
Memberships: Hourly, Daily, Weekly, and Monthly access to hot desks or dedicated desks.Private Spaces: Boardrooms, meeting rooms, private offices (monthly), and executive admin house.Event Venues: Indoor rooms, garden, and open-air areas for private events.Add-On Services: Catering (finger food platters, bakes, beverages), A/V rental, stationery, and extended parking.Administrative Services: Printing, typing, photocopying, scanning, graphic design, content writing, and messenger delivery, car wash.
2. Booking, Payment & Modifications
2.1 Booking & Payment
Full payment is due upon booking or membership activation.
No deposits unless specified for custom or large-scale event packages.
2.2 Price Changes
Service rates are published separately and may change without notice; Clients pay the rate in effect at booking.
2.3 Cancellations & Modifications
All bookings are non-refundable.Clients are entitled to one free booking change per membership term or event reservation (48 hr notice for coworking; 72 hr for private/event spaces).Any additional changes or cancellations after notice deadlines are non-refundable.
Meeting Room Bookings: Transfer & Reschedule
Non-Refundable: All meeting-room bookings are non-refundable.Transfer to Another User:
You may transfer your booking to a different individual or team member, provided the new user books a room within the same tier as the original reservation.If the transferee requires a larger room (i.e. a higher tier), you may upgrade by paying the difference (“top-up”).Downgrades are not permitted; you will not receive any refund or credit if you switch to a smaller room.Same-Date Transfer or Reschedule:
You may transfer the booking to another user for the same date/time slot without penalty.Alternatively, you may use your one permitted reschedule to move the booking to a different date. That reschedule still counts as your single “one-free-change” under Section 2.3.Notice Requirements: All transfers or reschedules must be requested at least 72 hours before the original booking time.
Monthly Memberships: Transfer & Expiry Rules
Individual Seats: Each monthly seat is assigned to a specific individual and entitles that individual to a set number of access-days within a 30-day period.For a coworking seat, an “access-day” means one full day at any hot desk or dedicated desk.For a private meeting room seat, an “access-day” means one full day (or equivalent hours) in an assigned private meeting room or private office.Expiry of Unused Days:
Any access-days not redeemed by the assigned individual before the end of the 30-day period expire and are forfeited. Unused days may not be applied to another individual or rolled into a new billing cycle.Seat Transfer:
An unused monthly seat—whether for coworking or a private meeting room—may be transferred in full to another team member at any point during the 30-day period. The transferee may only use days from the date of transfer through the original membership’s expiration—no retroactive use is permitted.No Carry-Over:
Once that 30-day period ends, any remaining days—whether at a coworking desk or in a private meeting room—are permanently lost and do not carry over into the next period.
3. Access Control & Security
All Clients must check in at reception on arrival and complete Client registration prior to accessing any space.Visitors to clients in the workspace are required to sign in and are to be escorted by the hosting Client at all times.For half-day or full-day private-space or event bookings, room keys may be provided upon request.
4. Facility Use & IT Acceptable Use
Professional Use Only:
Internet and network resources are provided strictly for work-related and professional purposes.
No Entertainment or Piracy: Streaming, downloading, or accessing entertainment content - such as movies, TV series, torrents, music, games, or other copyrighted material - is prohibited.
Monitoring:
All network activity is monitored for compliance and security.
Enforcement:
Violations of this policy may result in immediate suspension or termination of membership privileges and may be reported to copyright holders or law enforcement.

4.1 Included Amenities
Tea & coffee station: Coworking & Small Meeting Rooms (1–4 pax):All Spaces: Wi‑Fi, communal garden, toilets, lounge furniture in designated rooms, CCTV, and accessibility features.
4.2 Add‑On Services
Catering: Finger food platters, baked goods, and beverages; 48-hour advance notice required.RefreshmentsA/V Rental: Projector, microphone, camera; charged per session.Stationery & Printing: Business cards, flyers, design, print; advance scheduling required.Extended Parking: Available for event attendees or additional members.
5. Parking
Memberships: One complimentary parking space per Member; extras at published rates.Private & Event Bookings: Parking included for all authorized attendees for the booked duration.At Owner’s Risk: All vehicles parked on FlexiWork premises are at the owner’s sole risk. Clients must ensure vehicles are locked and valuables are secured.FlexiWork is not liable for theft, damage, or loss of vehicles or contents.
6. Insurance & Liability
Client Responsibility: FlexiWork does not insure Client property or activities—Clients must secure their own insurance.Liability Limitation: FlexiWork’s maximum liability is the amount paid by the Client for the relevant service.FlexiWork is not liable for indirect or consequential damages or loss/damage of personal property.Indemnification: Clients indemnify FlexiWork against claims arising from their use of services or breach of this Agreement.
7. Health, Safety & Conduct
Right of admission reserved.No smoking, vaping, or open flames indoors; food and drinks only in designated areas.Clients must comply with all health, safety, and building regulations.Report accidents, damage, or incidents immediately to FlexiWork staff.
8. Force Majeure
Neither party is liable for delays or failures due to causes beyond reasonable control (e.g., natural disasters, government actions, strikes, pandemics).If such an event persists beyond 30 days, either party may terminate this Agreement without penalty
9. Termination & Suspension
By FlexiWork: Immediate suspension or termination for non-payment, breach of these Terms, unsafe or unlawful conduct.By Client: Memberships may be terminated with 30 days’ written notice; prepaid but unused fees are forfeited.
10. Privacy, IP & Confidentiality
Data Privacy: Client data is processed under FlexiWork’s Privacy Policy.Intellectual Property: Clients retain ownership of work produced; FlexiWork may use non‑identifiable images of facilities for marketing unless opted out in writing.Confidentiality: Clients shall keep FlexiWork’s business operations, pricing, and member information confidential.
11. Governing Law & Dispute Resolution
This Agreement is governed by the laws of Zimbabwe and applicable international treaties.Disputes will be submitted to mediation in Zimbabwe; if unresolved within 30 days, binding arbitration under the Arbitration Foundation of Zimbabwe’s rules will apply.
12. Amendments & Notices
FlexiWork may amend these Terms & Conditions at any time. Changes take effect 30 days after posting on www.flexiwork.co.zw and notifying Clients via their registered email.Notices must be in writing and sent to the primary email on record.
